
Wacky Wheelers – Terms and Conditions

1. Booking Process and Formation of Contract
1.1 Booking Stages
The booking process consists of the following stages:
- Initial enquiry and/or quotation
- Availability check
- Submission of a booking form
- Issue of a formal estimate
- Payment of deposit
- Written confirmation from Wacky Wheelers
All stages prior to written confirmation (stage 6) are non-binding.
1.2 No Contract Until Confirmation
A legally binding contract is only formed when:
- the required deposit has been received in full, and
- Wacky Wheelers has issued written confirmation stating that the booking is confirmed.
Any payment made prior to written confirmation does not guarantee that a booking will be accepted.
1.3 Provisional Bookings and Availability
Availability provided at enquiry stage is indicative only and does not reserve or hold a date.
Dates are not secured and may be offered to other customers until:
- the deposit has been paid, and
- written confirmation has been issued.
Wacky Wheelers accepts no liability where a date becomes unavailable prior to confirmation.
1.4 Formal Estimate and Deposit Request
Following submission of a booking form, a formal estimate will be issued along with instructions for payment of the deposit.
Wacky Wheelers reserves the right to withdraw availability, cancel a provisional booking, or accept another booking for the same date at any time prior to receiving the deposit and issuing confirmation.
1.5 Deposit Timing and Communication
The deposit is expected within 48 hours of the deposit being requested.
If not received, Wacky Wheelers reserves the right to release the date.
Where communication is maintained, additional time may be granted at our discretion.
If no response is received, the booking may be treated as lapsed.
In such circumstances, no obligation will exist to honour the original enquiry, availability, or pricing if the customer later wishes to proceed.
1.6 Confirmation Timescale
Confirmation will be issued within 2 working days of the deposit being received.
If confirmation is not issued within this timeframe, the customer should contact Wacky Wheelers to verify receipt of payment.
Wacky Wheelers reserves the right not to confirm a booking where:
- the booking cannot be fulfilled; or
- the details provided are incomplete, incorrect, or unsuitable.
In such circumstances:
- the deposit will be refunded in full; and
- no contract will be deemed to have been formed.
Where no contract is formed, Wacky Wheelers will have no further obligation beyond refunding the deposit.
Any refund due under this clause will be processed within 7 days of receipt of the customer’s bank details.
Wacky Wheelers shall not be responsible for delays where bank details have not been provided.
1.7 Declined Bookings
Wacky Wheelers reserves the right to decline any booking request prior to confirmation.
If a deposit has been paid but the booking is not accepted, the deposit will be refunded in full under the same refund conditions as above.
Any refund due under this clause will be processed within 7 days of receipt of the customer’s bank details.
Wacky Wheelers shall not be responsible for delays where bank details are not provided.
1.8 Payment of Balance
All outstanding balances must be paid in full prior to setup.
Payments must be made without deduction or set-off.
1.9 Payment Methods
Deposits are payable by bank transfer.
Cleared funds are required.
The balance must be paid by bank transfer no later than 7 days prior to the event date, unless otherwise agreed in writing by Wacky Wheelers.
Exceptionally, cash payment immediately prior to setup will only be accepted where agreed in writing in advance.
Wacky Wheelers will not proceed with setup where payment has not been received in full.
1.10 Timeframes
Timeframes set out in these terms must be adhered to.
1.11 Pricing and Quotations
Verbal quotes are indicative only and are not binding.
Only written quotations or formal QuickFile estimates issued by Wacky Wheelers are valid, and only within the timeframe stated on the document.
Wacky Wheelers reserves the right to amend or withdraw any quotation after the stated validity period has expired.
Wacky Wheelers does not operate a discounting policy.
Prices may vary depending on operational factors including date, location, and demand.
2. Event Conditions and Weather
Events may be held indoors or outdoors at the customer’s discretion.
By choosing an outdoor event, the customer accepts full responsibility for weather-related risks.
Wacky Wheelers will attend the event fully prepared to deliver the booked service. However, adverse weather conditions, including but not limited to rain, high winds, unsafe ground conditions, or any condition making the use of electrical or inflatable equipment unsafe, may prevent the safe or effective operation of the equipment.
Wacky Wheelers will make reasonable efforts to proceed where it is safe and practical to do so.
Where it is not safe or practical to proceed due to weather affecting an outdoor booking, the booking will still be considered fully chargeable, as the inability to proceed arises from the customer’s choice of an outdoor venue.
No refunds or reductions will be made.
2.1 Outdoor Venue Suitability
Where an event is held outdoors, the customer is responsible for ensuring that:
- the ground is sufficiently flat and level to allow safe and effective operation of the vehicles; and
- the surface is suitable for ride-on vehicles.
Performance of the vehicles may be reduced on uneven, sloped, long-grass, soft, rough, or resistant surfaces, and this shall not constitute a failure of service.
2.2 Access Requirements
The customer must ensure that there is adequate access for equipment setup, including:
- sufficiently wide and unobstructed entry points;
- clear access routes free from obstacles; and
- the ability to position the vehicle and/or trailer within 10 metres of the setup area.
Where access is restricted or exceeds this distance:
- additional setup and takedown time may be required;
- this may result in a delayed start, reduced event duration, or adjustment to the event timing.
Any pre-event timing estimates provided are indicative only and may vary depending on venue conditions and access.
Wacky Wheelers accepts no liability for any impact on the event arising from restricted or unsuitable access.
2.3 Access Delays and Third-Party Issues
The customer is responsible for ensuring that access to the venue is available at the agreed setup time.
Wacky Wheelers shall not be responsible for delays caused by:
- locked premises;
- unavailable key holders, caretakers, staff, or venue representatives;
- restricted or delayed access to the venue;
- any actions or omissions of third parties.
Where such delays occur:
- the event may be shortened or adjusted accordingly; and
- the full booking fee will remain payable.
2.4 Excessive Setup or Breakdown Time
Wacky Wheelers allows a reasonable amount of time for setup and breakdown based on standard access conditions.
Where setup or breakdown time is significantly increased due to factors outside the control of Wacky Wheelers, including but not limited to:
- restricted access;
- excessive distance from vehicle to setup area;
- multiple floors or limited lift access;
- numerous doors, gates, corridors, or other physical obstacles;
- obstructions or interference from attendees, parents, venue users, or third parties;
Wacky Wheelers reserves the right to issue a supplementary charge.
Any such charge will be limited to the additional time reasonably incurred and will be calculated on a pro rata basis, reflecting that additional time relative to the standard duration of the booking.
Wacky Wheelers will notify the customer of any such charge and the basis of calculation as soon as reasonably practicable and, where possible, before issuing any supplementary invoice.
The customer agrees that such charges represent a reasonable reflection of the additional time and labour required.

Cleaning charges may apply:
- Up to £150 (standard tracks)
- Up to £300 (mega track)
3. Venue and Space Requirements
The customer is responsible for ensuring the venue is suitable.
This includes:
- adequate space;
- suitable surface conditions;
- appropriate access for equipment;
- availability of the venue at the agreed times; and
- ensuring that all permissions, staff arrangements, and facilities required for the event are in place.
If the venue is unsuitable and the event cannot proceed, the full balance remains payable.
Failure to provide accurate or complete information regarding the venue during the booking process may result in adjustments to the event, for which Wacky Wheelers accepts no liability.
3.1 Venue Recommendations
Recommendations are provided for guidance only.
Recommendations are based on previous use and may not reflect the venue’s condition or availability at the time of the event.
The customer remains responsible for verifying suitability.
Wacky Wheelers accepts no liability for venue-related issues, including but not limited to:
- unavailability of the venue;
- restricted access;
- unsuitable conditions;
- conflicting bookings or activities;
- actions or omissions of venue staff or third parties.
Any failure or limitation of the event arising from venue-related issues will not affect the charges payable under the booking.
4. Changes to Bookings
4.1 Party Size Changes
Where a customer wishes to reduce the size of a booking, Wacky Wheelers may agree to this at its discretion.
Where a reduction is requested more than 4 weeks before the event date, no charge will usually apply.
Where a reduction is requested within 4 weeks of the event date, Wacky Wheelers reserves the right to charge 50% of the difference between the original booking value and the revised booking value.
4.2 Pricing of Changes and Additions
Any changes to the party size, package, or additions to the booking will be charged at the prevailing rate at the time the change is made.
5. Vehicles and Equipment
5.1 Equipment Availability and Operation
Vehicles are mechanical and may break down during use, including as a result of normal operation, accidental impact, or harsh treatment during the event.
A vehicle is deemed provided if it completes the first two sessions (“goes”).
Where a vehicle becomes unavailable before completing the first two sessions, it will be treated as not having been provided and will be taken into account when calculating any applicable refund.
Any failure after the initial sessions is considered substantially delivered, regardless of perceived enjoyment or usage thereafter.
No refund will be considered where only one vehicle becomes unavailable after the initial sessions.
A partial refund will only be considered where more than one vehicle becomes unavailable.
Where a refund is applicable, it will be limited to the difference between:
- the price paid for the original booking; and
- the price applicable to the reduced party size.
If a vehicle becomes unavailable after approximately one hour, it is deemed fully provided.
Any refund due under this clause will be processed within 7 days of receipt of the customer’s bank details.
Wacky Wheelers shall not be responsible for delays in refund where bank details have not been provided.
The above represents the sole and exclusive remedy in respect of equipment-related issues, except to the extent that the issue results from Wacky Wheelers’ failure to exercise reasonable care and skill or from any binding information about the service provided by Wacky Wheelers under applicable law.

6. Event Delivery
6.1 Nature of the Service
Events are flexible and may vary based on:
- the age and number of participants;
- the venue;
- safety considerations;
- the judgement of the party leader on the day.
This may include changes to the format, order, layout, games, timing, or methods of delivery.
Website examples, images, descriptions, and promotional materials are illustrative of the style and general nature of the service only.
However, nothing in this clause limits or excludes any specific service features, package contents, or commitments expressly set out in Wacky Wheelers’ written quotation, QuickFile estimate, booking confirmation, or any information about the service that is binding on Wacky Wheelers under applicable law.
6.2 Customer Requests and Instructions
Customer requests will be considered but may be declined where impractical, unsafe, disruptive, or likely to negatively affect the event.
Wacky Wheelers retains full control over event operation.
Failure to follow customer suggestions or instructions in such circumstances shall not be considered a failure to provide the service as described.
6.3 Behaviour and Safety
Wacky Wheelers reserves the right to:
- refuse participation to any individual; and/or
- remove any person from the activity
where, in the opinion of the party leader, their behaviour is:
- unsafe;
- disruptive; or
- likely to negatively affect the experience of others.
No refund or reduction will be made in such circumstances.
6.4 Supervision
Wacky Wheelers will supervise the operation of the equipment.
However, responsibility for the supervision of children outside of the activity remains with the parent or event organiser.
Wacky Wheelers accepts no responsibility for children who are not actively participating in the activity.
7. Cancellations and Date Changes
7.1 Customer Cancellations
Where a booking is cancelled:
- more than 10 weeks before the event date, 50% of the deposit will be refunded;
- between 8 and 10 weeks before the event date, 25% of the deposit will be refunded;
- less than 8 weeks before the event date, no deposit refund will be made.
7.2 Late Cancellations
In addition to the above:
Where a booking is cancelled within 4 weeks of the event date, the full balance remains payable, regardless of reason.
This reflects the fact that:
- the event slot has been reserved exclusively for the customer;
- Wacky Wheelers is unlikely to secure a replacement booking at short notice; and
- costs and scheduling commitments have already been incurred.
Failure to proceed with the event for any reason, including illness, personal circumstances, change of plans, or any other non-operational reason, does not remove the obligation to pay the full balance.
7.3 On-the-Day Non-Performance
If the event cannot proceed due to customer-side issues, including but not limited to venue problems, lack of access, absence of the customer, or customer delay, the booking will remain fully chargeable.
7.4 Rebooking Option
Where a booking is cancelled less than 8 weeks before the event date, no deposit will be refunded.
However, if a new booking is confirmed within 4 weeks of the cancellation date, 50% of the original deposit may be credited toward the new booking.
All rebooked events are subject to availability and will be charged at the prevailing rate.
7.5 Rebooking of Original Slot
If Wacky Wheelers is able to rebook the original event slot for a booking at the same or higher total price as the original booking, monies paid may be refunded less a 15% administration fee.
A replacement booking of a lower value will not qualify for any refund under this clause.
7.6 Date Changes
Any request to change the event date will be treated as a cancellation.
Where a date is changed within 4 weeks of the event and the original slot cannot be rebooked, Wacky Wheelers reserves the right to charge 50% of the total booking value, unless the slot is successfully rebooked.
7.7 Insurance
Customers are strongly encouraged to consider obtaining suitable event insurance where cancellation or disruption risks are a concern.
8. Arrival Times
Wacky Wheelers will always aim to arrive on time and will allow a reasonable contingency where possible.
However, arrival times cannot be guaranteed in certain circumstances, including but not limited to:
- travel involving the M25, which is notoriously unpredictable;
- events located more than 30 miles from Wacky Wheelers’ base;
- access complications at the venue;
- early start times.
Where delays occur due to such factors, Wacky Wheelers accepts no liability for any resulting shortening or adjustment of the event.
9. Timing Requests
Where a customer requests a party time outside Wacky Wheelers’ normal operational scheduling, and this prevents Wacky Wheelers from accepting another booking that day, Wacky Wheelers reserves the right to apply a surcharge of up to 50% of the party price.
10. Photography and Video
Wacky Wheelers may take photographs or video during the event for operational, administrative, safeguarding, or record-keeping purposes. In general, photographs are nearly always taken of the setup prior to the majority of guests arriving.
Wacky Wheelers will only use photographs or video containing identifiable children or guests for promotional or marketing purposes where the parent or legal guardian of the child concerned, or the identifiable adult concerned, has given separate, explicit consent.
Any such consent may be withdrawn at any time for future use by contacting Wacky Wheelers. Withdrawal will not affect any use already made before the withdrawal is received.

11. Damage and Responsibility
Wacky Wheelers will take reasonable care when setting up and operating equipment.
However, the customer acknowledges that:
- the equipment is substantial and used in an active environment;
- minor marking, scuffing, or wear to floors, surfaces, grass, or surrounding areas may occur.
Wacky Wheelers shall not be liable for:
- minor or incidental damage arising from normal use of equipment;
- damage resulting from unsuitable surfaces or venue conditions;
- damage caused by participants or third parties.
The customer is responsible for informing Wacky Wheelers in advance of any sensitive, protected, or delicate surfaces.
The customer is responsible for ensuring that the venue owner has consented to the use of the equipment at the venue.
Nothing in this clause excludes liability for damage caused by negligence on the part of Wacky Wheelers.
12. Consumer Rights
Nothing in these terms shall affect the customer’s statutory rights.
13. General
The terms applicable are those in force at the time of booking confirmation.
Wacky Wheelers reserves the right to amend these terms from time to time.
14. Governing Law
These terms are governed by the laws of England and Wales.
Any dispute arising from these terms or the booking shall be subject to the jurisdiction of the courts of England and Wales.
15. Limitation of Liability
Nothing in these terms excludes or limits liability for:
- death or personal injury caused by negligence;
- fraud or fraudulent misrepresentation; or
- any liability which cannot lawfully be excluded or restricted.
Nothing in these terms excludes or limits any rights or remedies the customer may have under applicable consumer law, including rights arising under sections 49, 50, 54, 55, 56 and 57 of the Consumer Rights Act 2015.
Subject to the above, and except as expressly provided elsewhere in these terms, Wacky Wheelers’ total liability arising under or in connection with the booking shall not exceed the total amount paid for the booking.
Wacky Wheelers shall not be liable for indirect or consequential losses.
16. Severability
If any provision or part of a provision of these terms is deemed invalid, illegal, or unenforceable, it shall be modified to the minimum extent necessary to make it valid and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted, without affecting the validity and enforceability of the remaining provisions.
17. Events Outside Our Control
Except where these terms expressly allocate the risk of a particular circumstance to the customer, Wacky Wheelers shall not be liable for delay or failure to perform its obligations to the extent that such delay or failure results from events outside its reasonable control, including but not limited to extreme weather, road closures, accidents, or other unforeseen circumstances.
Wacky Wheelers will use reasonable efforts to mitigate the effect of any such event.
Nothing in this clause excludes or limits the customer’s statutory rights.
