| | All bookings are subject to receiving a completed booking form and deposit, which will be confirmed by us by email (or writing), although Wacky Wheelers reserve the right to waive the above requirement should the booking be appropriately approved via email (for reasons not exclusively being such as where the website and booking forms are inaccessible for example). . - Where applicable, all outstanding amounts must be settled in full on or before the day of the event either by online bank transfer or by cash. In any event, it must be prior to the set up of the track.
- If your event is to be held outdoors, be aware that bad weather conditions will hinder the use of the party equipment and may disrupt your event. Therefore we recommend you use indoor facilities where possible. If the track gets dirty as a result of being used in wet weather we reserve the right to levy a cleaning charge not exceeding £100 for the smaller tracks, £180 for the mega track.
- If your event is curtailed or cancelled due to bad weather or any other unforeseeable circumstances outside the control of Wacky Wheelers, all outstanding amounts remain payable in full. To clarify, the outstanding amounts include the full invoice amount due, including both balance to pay and deposit.
- Size change.
(i)If you book a party and then choose to downsize it then we can only accept the downsize under certain circumstances. Ordinarily, if adjusted more than 4 weeks in advance we will do this for no charge, however if you have booked a party on a slot where there are (or were) other parties pending that were of a larger nature, then we reserve the right to charge 50% of the decrease in party cost. For example, if you booked a 6 jeep party, and then changed to a party £100 cheaper less than 4 weeks before the party date, we would charge you 50% of the difference (ie £50).
(ii)Any changes in the party size will be at the prevailing rate. For example if you were originally quoted for a party and you change the party size, the new party size will be at the current rate and not the quoted rate (although the likelihood is that there will be no change)
(iii) Any additional extras (such as bunting) added to the party after the time of booking will be at the prevailing rate. - Although the electric ride on vehicles are designed to accommodate children from 4-9 years of age, we offer no guarantees as to the suitability of the vehicles for individual children. If in doubt please contact us to discuss individual requirements.
- The Jeeps are mechanical, so may suffer a breakdown during the party (they take quite a hammering). While we will do everything we can to get the Jeep working again during the party this may not always be possible, and should be considered part of the party. Where more than one Jeep becomes unusable, Wacky Wheelers reserve the right to refund a proportion of the party cost.
- All off track party activities must be supervised by the parents/party organisers.
- Although our tracks and vehicles are fully supervised, in the case of fetes and events, Wacky Wheelers cannot take responsibility for unaccompanied children, once they finish a ride.
- We must be notified immediately if you have to cancel your event. Where cancellation is necessary the following applies:
- More than ten weeks notice of cancellation – 50% of your deposit will be refunded.*
- Between ten and eight weeks – 25% of your deposit will be refunded. *
- Less then eight weeks notice of cancellation – No deposit refunded; however if rebooked within four weeks of the party date, 50% of your original deposit will be put towards the new booking,
- Less than four weeks, the full balance of the party will remain due, with the exception of parties that are rebooked within 4 weeks of the original date (the process of rebooking taking place, not the date of the rescheduled party). The full balance due will only be for the party itself, not for the following ‘extras’ : travel surcharge; medals and driving licences unless the latter already be manufactured; extra bunting or extra staff over the norm.
- in circumstances where the party is cancelled and not rebooked and we be able to re-book the original slot at full price, then we will refund all the deposit less a 15% service charge.
- We reserve the right to exclude any person that is in our opinion disruptive, destructive or causing a danger to themselves or others.
- Wacky Wheelers reserve the right to use photographs taken by us for advertising material. All photographs, negatives and films taken by us are the property of Wacky Wheelers. If you do not wish for the photography or film taken by us at your event to be used for marketing purposes, please indicate as such on the booking form where provided.
- Whilst we do everything in our control to make sure we arrive on time, including allowing a reasonable amount of contingency time, we cannot guarantee our arrival time particularly in the following circumstances:
(i) Where the journey includes travelling on any section of the M25
(i) Where the event is more than 30 miles from our RG9 5TX base
(ii) Where the morning party start time is earlier than 10.30am and the afternoon start time is 2.00pm or before.
In such circumstances we will inform the client of our eta and request their help to maximise the opportunity of a faster setup, not limited to clearing all entrances and parking spaces, assisting in carrying equipment to the party area, moving the birthday food to an earlier time. - If you want your party to start later than our recommended 10.30am for the morning slot, or earlier than 2.30pm for the afternoon slot, and we don’t already have a party booked on the other slot of the day, and the time you want just won’t allow us to fit one in in the other slot (distance also plays a part) then we can accommodate you at cost of 50% of your party booking (excl extras) .
- When things don’t quite work out as planned
